Title: Senior School Administrator Salary: S8 –S12 £20,579 – £22,810 (£24,886 – £27,584 FTE). Starting salary point dependent on experience. Salary pending inflationary pay scale review from Sept 22 Reports to: School Business Manager Working hours: 7:55am – 4:30pm Working pattern: Term time working with 20 days required during school holidays (43 weeks) Contract: Permanent The role: ● To provide effective, efficient and high-quality administrative support to One Degree Academy ● To support the School Business Manager with the Finance, HR and Data functions of the school to ensure the effective delivery of these functions Specific duties: Finance • Data processing of orders, GRN’s and invoices checking for accuracy and in line with financial procedures • To ensure orders/Goods received notes/invoices are approved within the trusts scheme of delegation, finance regulations and relevant budget holders ensuring they have all relevant supporting documentation • Investigate and resolve supplier order & invoices under query, arranging returns and ensuring refunds or credit notes are received • Reconcile monthly supplier statements • Day to day administration of lettings, respond to lettings enquiries and regular bookings, raise invoices and ensure payment received • Process and reconcile all income • To ensure all monthly transactions expenditure/income is posted in line with ODA’s Budget • Maintain filing system of financial records • To ensure a full month end checklist has been completed in line with ODA’s financial timeline • Maintain parent payment systems • To assist the Business manager with the internal and external audits • To ensure all new suppliers have been correctly verified HR Role • To maintain and operate HR systems, including Single Central Register (SCR) • To coordinate recruitment packs and arrange interviews • To maintain Staff files in line with the HR new starters and leavers procedures • To Process monthly payroll changes, annual leave, overtime, expenses • To support the Business manager to complete all annual HR, HMRC and Pension returns • Liaise with advisors of the production of contract letters • Support the Absence process, monitor Return to Work interviews and any absence trends • Coordinate Data collection forms & Salary Statements Administration • To provide general clerical assistance to all staff at the school • To maintain and update paper and electronic records, with an appropriate level of discretion • To provide general advice, guidance and direction to pupils, visitors and staff members • To cover main reception as and when required • To access and action emails on a daily basis • To undertake general reception and administrative duties, such as filing, answering the phone • To maintain, operate and keep up-to-date the school’s student record and management information systems as required Pastoral Care • To help promote and safeguard the welfare of all students and staff • To promote self-discipline, high standards of behaviour and positive attitudes on the part of all students and to implement policies and procedures to foster them • To ensure that a high standard of care and good order for all students is maintained through the development and implementation of behaviour systems Culture • Support the school’s values and ethos by contributing to the development and implementation of policies, practices and procedures • Help to create a strong school community, characterized by consistent orderly behaviour and caring respectful relationships • Help to develop a school culture and ethos that is utterly committed to achievement • Support and work in collaboration with colleagues and other professionals in and beyond the school Other • Undertake First Aid and Fire Marshal training • Undertake and when required, deliver or be part of the appraisal system and relevant training and professional development • Undertake other various responsibilities, as directed by the Head of School This document is considered to provide an outline of the areas that this role involves.
